Purpose: Schedule automatic reports to monitor information submitted by exhibitors through their eZone profiles.
Before You Begin
✔ Decide which exhibitor data fields you want to monitor.
✔ Determine whether you need all exhibitors or only a filtered group (e.g. Active Exhibitors).
✔ Have the email addresses ready for anyone who should receive the report.
Step 1: Access the Report
You can access the report setup page using either of the methods below.
Method A - From Reports
- Go to Reports.
- Select Scheduled Reports.
- From the Entity dropdown, choose Exhibitor.
- Click View Reports.
Method B - From the Exhibitors Module
- Go to Modules > Exhibitors.
- Click More.
- Select Export.
💡 Tip: Both methods take you to the same report configuration page.
Step 2: Configure the Report Layout
Choose which fields should appear in the export.
- Click Edit Layout.
- Tick the fields you want included.
- Ensure the following fields are selected:
- Account Number
- Company Name
- Click Apply Layout.
Recommended: Always include Account Number and Company Name so you can easily identify which exhibitor each record belongs to.
Step 3: Apply Filters (Optional)
Filters allow you to narrow down the report results.
- Click Edit Filters.
- Select the criteria you want to apply.
- Save or apply the filters.
Example: Active Exhibitors Only
This will ensure only active exhibitors are included in the report.
Step 4: Schedule the Report
Once your layout and filters are configured:
- Click More.
- Select Save & Schedule Filters.
- Enter a name for the filter set (optional).
- Open the Schedule tab.
Choose a Frequency
Select how often the report should run:
- Daily
- Weekly
- Monthly
Set the Date Range
Select:
- Start Date
- End Date
Configure Delivery Settings
Report Name
- Update the report name if required.
Report Format
- XLS – Excel spreadsheet format.
- CSV – Standard export format.
Email Recipients
- Your Showoff account email address will appear automatically.
- Add additional recipients if required.
- Click Create New Report.
What Happens Next?
✅ The report is saved.
✅ It will run automatically based on the frequency selected.
✅ The report will be delivered to the specified email address(es).
✅ Future exhibitor updates submitted through eZone will be included in subsequent reports.
Troubleshooting
My report is missing exhibitor names
Ensure Company Name and Account Number have been selected in Edit Layout.
I am not receiving the scheduled report
Check:
- The report schedule is active.
- The email address is correct.
- The report end date has not passed.
- Emails are not being filtered into junk or spam folders.
I only want active exhibitors
Apply the Is Active = Yes filter before scheduling the report.
