Each exhibitor profile can have more than one contact. This is useful when multiple people need access to the exhibitor’s Ezone to make updates.
✏️ Adding Contacts Manually
If you only need to add a few contacts to an existing exhibitor:
Open the exhibitor in the CMS back office.
Click Add Contact.
Fill out the contact details.
Click Save Changes.
Required fields (for the contact to be functional):
First Name
Last Name
Email
Username (must be unique)
Password
Other fields are optional.
📄 Adding Multiple Contacts via CSV
If you need to assign multiple contacts to multiple exhibitors, a CSV import is the most efficient method.
📝 Step 1: Prepare Your CSV
Create a CSV file with the following columns:
Exhibitor Account Number
First Name
Surname
Username
Password
Contact Email
Contact Telephone (optional)
Any additional fields (e.g., Job Title)
💡 Tip: Repeat the Account Number for each contact associated with the same exhibitor. For example, if exhibitor
1010has three contacts, repeat1010in each relevant row.
Save the file as a .CSV.
⬆️ Step 2: Upload the CSV in the CMS
Go to Modules > Exhibitors.
Hover over More in the top-right corner and select Import.
Use the Browse button to select your CSV file and upload it.
🔗 Step 3: Map Fields
Choose Import Method: Update Existing.
Map the CSV columns to the corresponding exhibitor fields:
| CSV Column | CMS Field |
|---|---|
| Account Number | Account Number |
| First Name | Firstname |
| Surname | Lastname |
| Username | Username |
| Password | Password |
| Contact Email | Email (under 'Person') |
| Contact Telephone | Phone |
💡 Tip: Ignore all other CMS fields not included in your CSV.
✅ Step 4: Preview and Submit
Click Submit to view a preview of the mapped contacts.
Verify that each contact is correctly assigned to the relevant exhibitor.
Click Submit again to complete the import.
All contacts in the CSV will now be added to their respective exhibitor profiles.
⚠️ Warnings & Best Practices
⚠️ Unique Username Required: Each contact must have a unique username. Duplicate usernames will cause errors.
💡 Check Account Numbers: Make sure the account numbers in the CSV match the correct exhibitors. Otherwise, contacts may be assigned incorrectly.
💡 Test First: If importing many contacts, try a small batch first to ensure mapping is correct.
⚠️ Password Security: Make sure passwords meet your organization’s security standards.
