This article explains the recommended format and sizing for speaker images, how to upload images manually, and how to bulk upload speaker photos into Showoff using a CSV file.
πΌοΈ Recommended Speaker Image Format & Sizing
To ensure speaker profiles display consistently across your event website, please follow the guidelines below when preparing speaker images.
β Image Requirements (Default Speaker Templates)
Square images only
Speaker photos should be square to avoid cropping issues.Recommended size: 500 Γ 500 pixels
This sizing is optimised for ASPβs default speaker list and entry templates.Centre the speakerβs face
Ensure the speakerβs face is clearly visible and centred within the image.Professional headshots
Use clear, professional photos with neutral or plain backgrounds for best results.
Important:
If you are using a custom speaker list or entry design, image size requirements may differ depending on the specification of your build.
If you are unsure, please contact ASP Support for guidance before uploading images.
π§βπΌ Adding Speaker Images Manually (One at a Time)
Speaker images can be added manually for individual speakers, which is useful when managing a small number of speakers or updating a single profile.
π§ Steps
Go to Modules β Speakers.
Select the speaker you wish to edit.
In the Profile Picture field, select Browse.
This opens the Media Manager pop-up.
Choose one of the following:
Select an image already uploaded to the Media Manager
Upload a new image by dragging and dropping a file into the Media Manager
Select the image to assign it to the speaker.
Select Save to update the speaker record.
Tip:
Manual uploads follow the same image sizing and formatting guidance outlined above.
πΌοΈ Bulk Uploading Speaker Photos (Batch Upload)
For events with a large number of speakers, Showoff provides a bulk import option using a CSV file. This is intended for batch uploads and allows multiple speaker images to be assigned in one process.
β Requirements for Bulk Uploads
Before importing speaker photos in bulk, ensure the following:
All speaker images are uploaded to the Media Manager in Showoff
Speakers must:
Already exist in Showoff or
Be created at the same time as the image upload
π Required CSV Fields
Create an Excel file containing the following columns:
Speaker Code
First Name
Last Name
Profile Picture
π Preparing Your CSV File
Complete the Speaker Code, First Name, and Last Name fields.
Under Profile Picture, paste the image URL copied from the Media Manager.
Ensure image URLs begin with the Showoff CDN domain, for example:
https://cdn.asp.events/...Save the file as a CSV.
π Image Sizing for Bulk Uploads (Important)
When uploading speaker images in bulk, it is especially important that all images meet the recommended sizing and formatting guidelines.
Images should be square and ideally 500 Γ 500 pixels (default templates)
Faces should be centred to avoid cropping
Consistent image sizes ensure a uniform appearance across all speakers
Poorly sized or off-centre images may appear cropped or misaligned once imported
If your site uses custom speaker templates, image size requirements may vary. If unsure, please contact ASP Support before proceeding.
βοΈ Steps to Upload the CSV
Go to Modules β Speakers.
Select More β Import β CSV File.
Choose the CSV file and select Submit.
Verify the total record count matches your CSV file.
Select an Import Method:
Add New Only β for speakers not already in Showoff
Update Existing β for updating existing speaker images
Add + Update β for adding and updating speakers in one upload
Map the CSV fields:
Entry Code β Speaker Code
First Name β First Name
Last Name β Last Name
Profile Picture β Profile Picture
Select Submit.
Select Submit again to complete the import.
β οΈ Important Notes
π Speaker Code accuracy is critical
When updating existing speakers, the Speaker Code in your CSV must match the existing codes in Showoff exactly.π Unique codes for new speakers
Speaker Codes must be unique when adding new speakers.πΌοΈ Media Manager required
All speaker images must be uploaded to the Media Manager before importing.π« Do not rename or move images
Changing image file names or locations in the Media Manager after upload will break the image links in Showoff.
