Integrating your Exhibitor Zone with Jonas Event Technology (JET)

Overview

ShowOff can integrate with Jonas Event Technology (JET) to provide exhibitors with a simple way to access Jonas directly from their Exhibitor Zone.

Jonas Event Technology is an event registration provider supporting trade shows, consumer events and conferences with services including event registration, badging and ticketing, onsite registration and exhibitor services.

What does the integration do?

The integration provides Single Sign-On (SSO) between the ShowOff Exhibitor Zone and the Jonas platform.

ShowOff remains the source of the exhibitor data used by the integration. Exhibitor and contact information should therefore continue to be created, updated and managed within the ShowOff CMS.

Once configured, exhibitors can select the Jonas link from within their Exhibitor Zone and be passed directly into the relevant Jonas portal without needing to separately enter their company and contact details.

When the link is selected, the integration passes the required exhibitor and Main contact information held within ShowOff to Jonas. This allows the corresponding exhibitor record to be created or accessed within Jonas using the information managed within your ShowOff platform.

Where should exhibitor information be managed?

Exhibitor information used by the integration should be managed within ShowOff. ShowOff acts as the source of data that is passed across to Jonas.

This means that if information such as an exhibitor's company name, address, contact details or stand number needs to be changed, the relevant information should be updated within the ShowOff CMS.

Keeping ShowOff as the source of this information helps ensure the data used across your website, Exhibitor Zone and Jonas integration remains consistent.

What do I need before the integration can be set up?

Before ASP can configure the integration, your event will first need to be set up with Jonas and the appropriate integration/API access will need to be available for your event.

Jonas will provide an Event Reference for your event. This is a unique reference used to connect your ShowOff Exhibitor Zone with the correct event in Jonas.

Once you have received this reference, send it to the ASP team and let us know where you would like the Jonas link to appear within your Exhibitor Zone.

ASP can then configure the integration and add the relevant link to your Exhibitor Zone.

What exhibitor information is required?

Each exhibitor using the integration must have at least one contact assigned as their Main contact within ShowOff.

This is important because the Main contact's information is included in the data sent from ShowOff to Jonas. If an exhibitor does not have a Main contact assigned, the Jonas SSO option will not be available to that exhibitor.

The person logging into the Exhibitor Zone does not need to be the Main contact. Other contacts associated with the exhibitor can access the Jonas link, provided that the exhibitor itself has a Main contact assigned.

Data and character limits

Jonas applies maximum character limits to some of the information it receives from ShowOff. When maintaining your exhibitor information within ShowOff, the data being passed to Jonas should remain within the limits below.

If any information exceeds these limits, it may prevent the exhibitor's information from being successfully passed to Jonas. We therefore recommend keeping the information managed within ShowOff within these limits when using the integration.

Troubleshooting

The Jonas link isn't appearing for an exhibitor

If the Jonas option is available to most exhibitors but is missing for a particular exhibitor, first check whether they have a Main contact assigned within ShowOff.

Without a Main contact, ShowOff cannot provide Jonas with the required contact information and the SSO link will not be displayed.

If a Main contact is already assigned, check the exhibitor's information within ShowOff against the Jonas character limits above. In particular, check longer fields such as company name, address information, Main contact name and website address.

Which contact's information is sent to Jonas?

The details belonging to the contact marked as Main within ShowOff are used when passing contact information to Jonas.

This does not restrict access to the Main contact. Other contacts associated with the same exhibitor can log into the Exhibitor Zone and use the Jonas link, provided a Main contact exists against the exhibitor record.

Where should I make changes to exhibitor information?

Changes to the exhibitor information used by the integration should be made within ShowOff.

As ShowOff is the source of the exhibitor data being passed to Jonas, keeping this information up to date within the CMS ensures the integration uses the correct information.

Next steps

If you would like to use the Jonas integration for your event:

1. Speak to Jonas Event Technology about setting up their registration services for your event
2. Speak to your ASP Account Manager to confirm whether the required API access has been purchased for your event
3. Ask Jonas to provide the Event Reference required for the integration
4. Send the Event Reference to the ASP team and let us know where you would like the Jonas link to appear within your Exhibitor Zone
5. Ensure your exhibitors have a Main contact assigned within ShowOff and that their information meets the Jonas character limits
6. ASP can then configure the ShowOff side of the integration and work with you to test the exhibitor journey before it is made available to exhibitors

Once the integration is live, continue to manage your exhibitor and contact information within ShowOff. This remains the source of the data used by the integration and passed across to Jonas.
