Released as part of the June 2026 platform update, you can now bulk import Meta Titles and Meta Descriptions for Exhibitors, Speakers, Sessions, and all Library types.
Meta Titles and Meta Descriptions are important SEO elements that help search engines understand the content of your webpages. The Meta Title is the headline displayed in search engine results, while the Meta Description provides a short summary beneath it. Well-written, unique meta information helps search engines better index your content, can improve your visibility in search results, and encourages more users to click through to your website.
Previously, meta information for module records had to be added manually, one entry at a time. With this new feature, you can now update hundreds of records in a single import, making it much quicker and easier to optimise your event website for search engines.
Bulk Importing Meta Titles & Descriptions
Step 1 - Export Your Existing Data
If your module already contains data, we recommend exporting it first so you have a correctly formatted file to work from.
- Go to Reports > Scheduled Reports.
- Select the relevant module from the dropdown.
- Click View Report.
- Select Edit Layout.
You'll need to include the following fields in your export:
Meta Fields
- Meta Title
- Meta Description
Required Identifier Fields
These are required so the platform knows which records to update.
| Module | Required Fields |
|---|---|
| Exhibitors | Account Number, Company Name |
| Speakers | Speaker Code, First Name, Last Name |
| Sessions | Session Code, Title |
| Libraries | Entry Code, Title |
Once you've generated the report, download the export. If you haven't previously added SEO information, the Meta Title and Meta Description columns will likely be blank.
Populate these two columns with your desired SEO content.

You'll find an example CSV export attached to the bottom of this article for reference. |
Step 2 - Import Your Updated File
Once your spreadsheet has been completed, you're ready to import it.
- Navigate to the relevant module.
- Select More.
- Choose Import Exhibitors, Import Speakers, Import Sessions, or Import Entries, depending on the module you're updating.
Upload Your File
- Your file must be saved as a CSV.
- XLS, XLSX, and other spreadsheet formats are not supported.
- Leave Encoding as Default, or choose UTF-8 if your data contains special characters.
After uploading your file, verify that the Total Records count matches the number of rows in your CSV. If it doesn't, review your file before continuing.
Step 3 - Select the Import Method
Choose the appropriate import method:
- Update Existing – Updates records that already exist in the platform (recommended if following the export/import process above).
- Add New – Creates entirely new records.
- Add & Update – Updates existing records while also creating new ones where required.
Step 4 - Map Your Fields
Map the fields from your CSV to the corresponding CMS fields.
Be sure to map:
- The required identifier fields for your module
- Meta Title
- Meta Description
Complete any additional field mapping required on the following page.
Step 5 - Review & Submit
Before the import completes, you'll be shown a preview of the data that will be imported.
Carefully review the information to ensure:
- The correct records are being updated.
- Your Meta Titles and Meta Descriptions appear correctly.
- The data matches your CSV file.
Once you're happy everything is correct, click Submit.
Your Meta Titles and Meta Descriptions will then be imported and applied to the relevant records within the CMS.
Adding Meta Information Manually
If you only need to update a small number of records, you can continue to edit meta information individually.
To manually add or edit a Meta Title and Description:
- Navigate to Modules and select the module you'd like to update (Exhibitors, Speakers or Sessions), or go to Libraries and select the appropriate library.
- Open the record you wish to edit.
- Scroll to the bottom of the page and expand Entry Options.
- Open the SEO tab.
- Enter your Meta Title and Meta Description.
- Click Save.
This method is ideal for occasional updates, but if you're updating many records, using the bulk import feature will save considerable time.
📈 Top Tips for Writing Meta Titles & Meta Descriptions
1. Understand how meta data impacts website performance
Meta Titles and Meta Descriptions directly influence how your exhibitors, speakers, sessions, and library entries appear in search engine results. Well-optimised meta data improves visibility in search results, strengthens indexing quality, and increases click-through rates, directly driving more traffic to your event website.
2. Avoid missing or incomplete meta data
If Meta Titles or Meta Descriptions are left blank, search engines may automatically generate them. This can result in inconsistent messaging, reduced control over how your pages appear in search results, and lower click-through performance.
3. Keep Meta Titles concise (50–60 characters)
Titles that exceed recommended length may be truncated in search results, cutting off important information. Keeping titles concise ensures key messaging is fully visible, improving clarity and engagement.
4. Use keywords early in the Meta Title
Placing the most relevant keywords at the beginning of your title helps search engines quickly understand page relevance, improving visibility and discoverability in search results.
5. Ensure every record has unique meta data
Each exhibitor, speaker, session, and library entry should have unique Meta Titles and Descriptions. Duplicate or repetitive meta data reduces search clarity and can negatively impact overall SEO performance.
6. Avoid templated or duplicated wording across records
While consistency is important, overusing templates can reduce the effectiveness of individual pages. Unique, meaningful descriptions improve relevance and help each page perform better in search results.
7. Write Meta Descriptions that clearly summarise the page
Meta Descriptions should accurately describe the content of the page and help users quickly understand what they will find before clicking. This improves relevance and increases click-through rates.
8. Keep Meta Descriptions within 150–160 characters
Staying within this range helps ensure descriptions are displayed in full across most search engines. This prevents truncation and keeps messaging clear and impactful.
9. Focus on user search intent to improve relevance
Meta data should reflect what users are actually searching for. Aligning content with search intent improves the quality of traffic and increases engagement once users land on your site.
10. Avoid vague or generic wording
Generic phrases such as “Home page” or “Welcome” do not provide meaningful context for search engines or users. Clear, specific descriptions improve indexing and search performance.
11. Maintain consistency across all content types
Consistent meta data across exhibitors, speakers, sessions, and libraries helps create a stronger, more coherent search presence for your event website, improving overall brand visibility and trust.
12. Write for users first, search engines second
Meta data should be clear, readable, and helpful to users. Higher engagement and click-through rates are positive signals to search engines and contribute to improved rankings over time.
13. Use Meta Descriptions to encourage clicks
Where appropriate, include natural calls to action such as “Learn more”, “View details”, or “Register now” to improve engagement and drive more traffic from search results.
14. Ensure meta data supports accurate indexing
Well-structured and relevant meta information helps search engines correctly understand and categorise your content, increasing the likelihood that the right pages are shown for relevant searches.
