A Speaker Code is a unique identifier used to identify a speaker within the platform.
Rather than relying on a speaker’s name (which can be duplicated, changed, or formatted differently), the system uses the Speaker Code as the single source of truth to reliably link speakers to other content such as seminars.
In simple terms:
The name is what users see
The speaker code is what the system uses behind the scenes
Why are Speaker Codes important?
Speaker Codes are essential because they:
Ensure each speaker can be uniquely identified, even if multiple speakers share the same name
Prevent errors during CSV imports
Allow speakers to be correctly linked to seminars
Make bulk updates and imports reliable and repeatable
Avoid broken or missing speaker assignments when importing seminar data
Without a speaker code, the system has no reliable way to know which speaker should be attached to a seminar during an import.
Where do I add or find a Speaker Code in the Back Office?
Speaker Codes are managed directly within the Speakers module.
To add or view a Speaker Code manually:
Go to Back Office
Open Modules
Select Speakers
Open the relevant speaker record
Locate the Speaker Code field
Enter a unique value (for example:
john-smith-01)Save the speaker
Each speaker should have one unique speaker code, and no two speakers should share the same code.
How are Speaker Codes used in CSV imports?
Speaker CSV imports
When importing speakers via CSV, the Speaker Code column is used to:
Create new speakers
Or update existing speakers if the code already exists
If the speaker code in the CSV matches an existing speaker code in the system, the record will be updated, not duplicated.
Assigning speakers during a Seminar CSV import
When importing seminars, speakers are assigned using their speaker codes, not their names.
Important formatting rules:
Speaker codes must be entered exactly as they appear in the speaker record
When assigning multiple speakers, they must be comma separated
Example:
SP001, SP002, SP003If the formatting is incorrect speakers may not attach correctly to the seminar.
Best practices for Speaker Codes
Always use clear, consistent, and unique values
Avoid spaces or special characters
Do not reuse speaker codes across different speakers
Add speaker codes before running seminar imports
Keep speaker codes consistent between the Back Office and CSV files
Summary
Speaker Codes are required to reliably link speakers to seminars
They act as a unique identifier for each speaker
They are used heavily during CSV imports
Multiple speakers in seminar imports must be separated by comma + space
Correct speaker codes prevent import errors and missing speaker assignments
