This guide (based on a recent training webinar) will walk you through everything you need to build, style, and manage your Exhibitor Zone 2 - from setting up exhibitor groups and pages to designing your dashboard and managing content, forms, and communications.

Before You Begin
✅ Log into your ShowOff back office
✅ Ensure your Ezone 2 module is active under Modules > Zone
✅ Have at least one test exhibitor set up
✅ Prepare any branding assets (logos, background images, colours)

Before You Begin
1. Accessing Ezone 2
Go to Modules > Zone in your ShowOff back office.
You’ll see the main navigation tabs:
Pages, Groups, Settings, and sub-sections for Emails, Task Lists, Translations, and more.
Ezone 2 is a separate module from the Classic Ezone, with a cleaner interface and combined menus and pages for simpler setup.
2. Creating Exhibitor Groups
Groups replace the old “Exhibitor Status” system and define what each exhibitor can access.
To create a group:
Go to Zone > Groups
Click Add Group or Clone an existing one (e.g. clone “Standard” to create “Enhanced”)

Edit the group under General:
Set the group as Active
Choose a name (e.g. “Enhanced Exhibitors”)

Configure permissions:
Enable fields (logos, websites, social links, etc.)
Turn on relevant Libraries, Categories, and Forms
Save your changes.
Tip: Cloning an existing group helps you create tiered packages with different feature access.
3. Adding a Test Exhibitor
Before designing your Ezone, create a test exhibitor to preview the layout.
Go to Modules > Exhibitors
Click Add Exhibitor
Complete basic details (name, account number, assigned group)
Save and Add Contact (with username and password)
Use this login to view your Ezone as an exhibitor.
4. Setting Up Pages and Menus
In Ezone 2, pages and menu items are managed together.
To add a page:
Go to Zone > Pages
Click Add Page

Choose a Page Type, such as:
Dashboard – exhibitor homepage
Page – general content page
Task List – displays assigned tasks
Library Edit – upload and manage media
Form Submit – add a form for completion
Category Edit – exhibitors manage their categories
Manage Exhibitor Contacts – add contacts
URL / Media File – link to external content
Edit Profile – links to the full profile, including logo, cover image, address, online profile, and social media details
Name your page (e.g. “Dashboard” or “Upload Content”)
Arrange your pages in order - these form your navigation menu.
Rename your homepage to Dashboard for clarity - this acts as the exhibitor’s control panel.
5. Adding Widgets and Content
Widgets control all front-end content.
Open your Dashboard page.

Click Add Widget and select options such as:
Slider Image – add an image, title, description, and button link
Free Text – add welcome text or instructions
Task List Widget – display exhibitor tasks
Accordion / Buttons / Panels – for additional content
Use the Media Manager to browse and upload your images or banners directly.
6. Creating Task Lists
Task lists guide exhibitors through required actions (e.g. upload logo, complete profile).
Go to Settings > Task Lists

Click Add Task and set:
Title and Description
Linked Fields (e.g. logo, cover image)
Compulsory / Optional status
Publish / Expiry Dates
Applicable Groups
Save and preview your list on the exhibitor dashboard.
Compulsory tasks trigger pop-ups until completed.
7. Using Libraries and Categories
Libraries are where exhibitors upload assets (e.g. press releases, products, images).
Categories allow tagging or grouping of content.
Go to Zone > Groups > Libraries
Activate desired libraries (e.g. News, Products)
Set approval requirements or entry limits
For categories, enable Category Edit and link it to the exhibitor group.
8. Importing Exhibitors via CSV
To bulk upload exhibitors:
Go to Modules > Exhibitors > More > Import
Choose your CSV file
Match CSV fields to system fields

Choose an import mode:
Add New
Update Existing
Match on Account Number
Review and confirm import
Use ASP’s example CSV template for correct field formatting.
9. Styling and Branding Your Ezone
Customise your login page and dashboard design under Zone > Settings.
Login Page: upload logo and background image
Strapline: add a welcome message
Show Logo: upload your show logo

Design & Appearance:
Change Theme Colours and Fonts
Preview updates instantly
Save settings when done
10. Announcements & Emails
Announcements
Send updates directly to exhibitors within the Ezone.
Go to Settings > Announcements
Click Add New
Add a title, image/video, and message
Assign to specific exhibitor groups
Save - announcements appear on the exhibitor dashboard.
Emails
Manage automated communications under Settings > Emails:
Login via Email – secure sign-in link
Welcome to the Zone – customised onboarding message
Task Reminders – schedule follow-ups
Lost Password and Library Reports emails
“Email me a sign-in link” is a new, secure feature for Ezone 2 logins.
11. Forms in Ezone 2
To display a form inside your Ezone:
Go to Modules > Forms
Open your form and set Form Type = Zone
Under Groups > Forms, enable access for relevant exhibitor groups
Add the form to your Ezone via Add Page > Page Type: Form Submit
12. Translations
You can translate or rename default Ezone text via Settings > Translations.
This applies only to content within the Ezone interface.
